1. Authorized Personnel Only
This system is restricted to authorized workforce members. Unauthorized access violates HIPAA 45 CFR §164.308(a)(3) and may result in civil penalties up to $1.9M per violation category and criminal prosecution under 18 U.S.C. §1347.
2. Minimum Necessary Standard (45 CFR §164.502(b))
You may access and use only the minimum PHI necessary to perform your assigned job functions. Do not access records outside your role scope.
3. Audit & Monitoring (45 CFR §164.312(b))
All activity on this system — including every login, data access, modification, and export — is continuously logged. Audit logs are retained for a minimum of 6 years. You have no expectation of privacy on this system.
4. Automatic Session Lock (45 CFR §164.312(a)(2)(iii))
Sessions automatically lock after 15 minutes of inactivity. Never leave a session unattended. Do not share credentials.
5. Prohibition on Unauthorized Disclosure (45 CFR §164.502)
PHI accessed through this system may not be disclosed to unauthorized parties. Screenshots, exports, and copies of PHI must be handled per your facility's HIPAA policies.
6. Breach Reporting Obligation (45 CFR §164.400)
Any actual or suspected breach of PHI must be reported immediately to your facility Privacy Officer. Failure to report is itself a HIPAA violation.
7. Business Associate Agreement
This platform operates under executed Business Associate Agreements with all covered-entity facilities. Facility administrators are responsible for HIPAA workforce training and sanction policies.
They'll receive an email with a link to set their password and access their building dashboard.
Select all buildings this admin will manage.
Regional admins can manage schedules and HR for all assigned buildings and see multi-building analytics.
